Information we collect

What we may receive from you

We only ask for information that is reasonably needed to deal with an enquiry, prepare a quotation, provide services or meet our business and legal obligations.

Enquiry details

Name, company or organisation, email address, telephone number and any information you include in your message.

Site information

Property or site postcode, service required, approximate quantities, preferred dates and other job-related details you choose to provide.

Business records

Quotation, job, invoice, payment and correspondence records if your enquiry develops into work for us.

How we use it

Purposes and lawful bases

We may use personal information to:

  • respond to enquiries and requests for quotations;
  • take steps requested by you before entering into a contract and to perform any contract for services;
  • arrange access, testing, reporting, remedial works and customer communications;
  • issue quotations, invoices and maintain accounting or VAT records;
  • protect the website, our systems and our business from misuse, fraud or security threats; and
  • establish, exercise or defend legal claims where necessary.

Depending on the circumstances, our lawful basis will normally be contract or steps taken at your request before a contract, legal obligation for records we are required to keep, and legitimate interests for proportionate business administration and security.

We do not currently use website enquiry information for automated decision-making or profiling.

Service providers

Who may process information

We use service providers where needed to operate the website and receive enquiries. These currently include:

  • Formspree, which processes website form submissions and forwards them to our business email;
  • Cloudflare, which hosts and delivers the website and may process technical request or security information as part of providing its services; and
  • our email, accounting, IT and professional advisers where reasonably necessary for business administration or legal compliance.

Some service providers may process information outside the UK. Where a restricted international transfer takes place, appropriate contractual or other lawful safeguards are expected to be used by the relevant provider.

We do not sell personal information.

Retention

How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and for any applicable legal, accounting or dispute-resolution requirements.

  • Enquiries that do not result in work are normally retained only for a reasonable follow-up period and then deleted when no longer needed.
  • Customer, quotation, contract, invoice and VAT-related records may be retained for the period required for tax, accounting and legal purposes. Certain VAT and business records may need to be kept for at least six years.
  • Information relevant to an ongoing dispute, complaint or legal claim may be retained for longer where necessary.

Depending on the circumstances, you may have rights to ask us for access to your personal information, correction of inaccurate information, erasure, restriction of processing, data portability, or to object to certain processing.

Your right to object: where we rely on legitimate interests, you may object to that use of your information. We will consider the request in accordance with applicable data protection law.
